Comparing many applicants
Purpose
This tutorial shows how you invite many applicants to a position, compare how well they match the job profile and export the list as a CSV file. This way, you quickly find the applicants you invite to an interview.
The example: The “Facility-Management Services” team of Hamster Handels GmbH is looking for another facility manager. A surprisingly large number of applicants have applied. The management gives the team leader one condition: no more than five interviews. This raises two questions:
- Which five applicants are invited to an interview?
- How is the right applicant selected afterwards?
The HR manager of Hamster Handels GmbH answers both questions together with the team leader in MatchLytics-Assessment. The applicants’ motivation profiles are compared with the job profile. The calculated match serves as a sorting criterion and thus as a first indication for the selection.
Who can see this?
All users of MatchLytics-Assessment, if the product is enabled for your account. Only administrators and users with the Analyse permission see the detailed evaluation in the Match tab. Prerequisite: You have described the requirements of the position in advance and know the applicants’ email addresses.
Step 1: Create a position
- Open Positions in the menu and click New Position.
- Under Select source, select the Job profile option (1) in the Source field and enter “Facility Manager” as the Name.
- Select the job profile “Service/Support | Hausmeister” in the Template field (2). The Questionnaire is assigned automatically.
- Use the checkboxes to define the characteristics of the position (3): under Activity Monitoring and Manual, under Work with People and with Object, under Responsibility Products and Processes.
- Click Create (4).

- Source – Determines what the job profile starts from, here a ready-made Job profile. The source cannot be changed after the position has been created.
- Template – The job profile “Service/Support | Hausmeister”, whose target values are copied into the new position. The applicants are compared with this profile later.
- Activity, Work, Responsibility – Checkboxes for the characteristics of the position. Each checked characteristic shifts the target values of the job profile from which the match of the applicants is calculated.
- Create – Creates the position and opens its details. It is then available in the Position fields, and only administrators may create it.
The tutorial Advertising a position shows the individual steps in detail.
Step 2: Invite all applicants
- Open Invitations in the menu and select the position “Facility Manager” in the Position field.
- Invite each applicant:
- individually with New invitation (enter email, name and Template, then Create) or
- several at once with New team invitation: In the Invite Multiple Applicants dialog, enter one line per applicant in the format
email, namein the CSV Field, select the Template and click Create.
- Each applicant receives an email with a link to the questionnaire. As soon as an applicant has created a motivation profile, the Results button in the invitation list is active.

The applicants answer the TwentyFive questionnaire on a device of their choice (computer, smartphone, tablet). After the last question, the result is available in MatchLytics-Assessment.

Step 3: Compare and export applicants
- Open Applications in the menu and select the position “Facility Manager” in the Position field.
- Click the Match column header to sort the applicants by how well they match the job profile.
- Click Results for an applicant to see the detailed evaluation. In the Match tab, you compare the levels of personality individually.
- Click Download CSV (1). MatchLytics-Assessment downloads the applications of the selected position as the file
candidates_<position name>.csv.

In addition to the overall match, the CSV file contains the values of the individual levels. You can open it in a spreadsheet for documentation or for your own evaluation.

Step 4: Evaluate the comparison
The sorted list is a first indication for inviting applicants to an interview. In the example, the five applicants have a match between 76% and 82%.
Applicants with a lower match are not unsuitable in principle. No person can be completely “measured”. However, the comparison indicates how likely the job is to fulfill an applicant’s inner needs. In the medium and long term, this affects the productivity of the team and the health of the employees.
The interviews clarify for which applicant the facility manager position is the right one and who fits best into the “Facility-Management Services” team. In the end, people decide: the team leader and the applicants. The tutorial Hiring an applicant shows how you then hire the selected applicant.
Notes
The match is an indication, not a decision on suitability. The page Viewing and evaluating applications describes the Applications table and its columns, the page Invitations describes the team invitation via CSV.
