Advertising a position

Purpose

This tutorial shows in four steps how you create a position, invite an applicant and compare the applicant’s motivation profile with the requirements of the position.

The example: The “Social-Marketing” team of Hamster Handels GmbH runs its own server cabinet with many computers. To avoid downtime and data loss, a server administrator is to take care of it full-time. The team leader can check the technical knowledge in an interview. The team leader is unsure whether an applicant’s motives and needs fit this task, which differs clearly from the work of the rest of the team. The HR manager and the team leader therefore use MatchLytics-Assessment: the applicant’s motivation profile is compared with the job profile. If both are close to each other, this indicates a good match.

Who can see this?

All users of MatchLytics-Assessment, if the product is enabled for your account. Only administrators and users with the Analyse permission see the Match tab in step 3. Prerequisite: You have described the requirements of the position in advance so that you can select a suitable job profile as the template.

Step 1: Create a position

  1. Open Positions in the menu.

  2. Click New Position (1).

Position list with the New Position button

  3. Under Select source, select the Job profile option in the Source field (1).

  4. Enter “Server-Administrator” as the Name (2) and the task of the position under Description (3).

  5. In the Job profile settings area, select the job profile “Service/Support | IT-Fachkraft” in the Template field (4). The Questionnaire (5) is assigned automatically.

  6. Use the checkboxes to define the characteristics of the position (6). Under Activity, the future server administrator works Monitoring, under Work with Object, and under Responsibility is responsible for Machines.

  7. Click Create (7). The view switches to the details of the new position. The position is now at the top of the position list.

Details of a new position with source, template and checkboxes

  1. Source – Determines what the job profile starts from: a Job profile, a Motivation profile, an Employee profile or Activities. The source cannot be changed after the position has been created.
  2. Name – Name of the position as it appears in the Position fields and on the Current start page. The field is mandatory.
  3. Description – Free text about the task of the position. The field is optional and does not enter the calculation of the match.
  4. Template – The job profile “Service/Support | IT-Fachkraft”, whose target values are copied into the new position. The applicants are compared with this profile later, and the field is locked after creation.
  5. Questionnaire – Shows the questionnaire that the applicants answer. The system assigns it automatically on creation, and you cannot change it.
  6. Activity, Work, Responsibility – Checkboxes for the characteristics of the position. Each checked characteristic shifts the target values of the job profile from which the match of the applicants is calculated.
  7. Create – Creates the position and opens its details. It is then available in the Position fields, and only administrators may create it.

Step 2: Invite the applicant

The applicant creates a motivation profile via an invitation sent by email.

  1. Open Invitations in the menu.

  2. Select the position “Server-Administrator” in the Position field (4).

  3. Click New invitation (5).

  4. In the Generate invitation dialog, enter the applicant’s Email (1) and Name (2).

  5. Under Email Notification, select the email template in the Template field (3). The “Standard” template is preselected.

  6. Click Create (4).

Generate invitation dialog with email, name and template

    1. Email – Address of the applicant to which the invitation with the link to the questionnaire is sent. The field is mandatory and requires a valid email address.
    2. Name – Full name of the applicant, which appears in the invitation list. The field is mandatory.
    3. Template – Selects the email template that determines the text of the invitation. The list shows the name and language of each template; the template with “Standard” in its name is preselected, otherwise the first one.
    4. Create – Creates the applicant with the invitation and immediately sends the email with the link to the questionnaire. The link is valid for 14 days.
  7. MatchLytics-Assessment confirms that the email was sent. The invitation appears in the table. As long as the applicant has not created a profile, the Additional information column shows the disabled Unused button.

Invitation list with the new invitation and the confirmation

The applicant receives an email with a link to the questionnaire. The selected template determines the text of the email.

Example of an invitation email to the applicant

The link guides the applicant through the TwentyFive questionnaire. The applicant can answer the questionnaire on any device (computer, smartphone, tablet). After the last question, the applicant sees the evaluation of the motivation profile, and the result is available in MatchLytics-Assessment.

Step 3: View the result

  1. Open Current in the menu. The position “Server-Administrator” now shows the number of Invitations and Portraits.

  2. Click APPLICATIONS (6).

    Current with the APPLICATIONS button

  3. The Applications page opens with the Position already selected (7). The Match column shows 76% for Max Mustermann. Click Results (8).

  4. Switch to the Match tab. It shows notes for the interview with the applicant, for example questions that result from the comparison with the job profile.

  5. Scroll down. Under Match according to motives, strengths and preferences, three diagrams show the job profile (yellow diamond) and the applicant (purple dot) side by side. The Match according to TwentyFive diagram shows the match per level as a percentage. Use the options on the right, for example All or Basic Needs, to select the view.

Step 4: Evaluate the comparison

In the example, the motives and needs of Max Mustermann are close to the requirements of the position. The overall match is 76%. In the Match according to TwentyFive diagram, all levels are between 73% (Basic Needs) and 88% (Social Orientation); the other values are Implicit Motives 85%, Time Orientation 87%, Preferences 76% and Focus 77%.

This does not mean that the applicant is certainly suitable. No person can be completely “measured”. However, the comparison indicates that working as a server administrator is very likely to fulfill the applicant’s inner needs. This can have a positive effect on the applicant’s satisfaction and on the productivity of the team. The lowest level, the Basic Needs, and the questions in the Match tab are good starting points for the job interview.

Only the personal interview clarifies whether the position really suits the applicant and whether the applicant fits into the “Social-Marketing” team. In the end, people decide: the team leader and the applicant.

Notes

The match is an indication, not a decision on suitability. For a detailed description of the job details, see Positions, for invitations see Invitations and for the results see Viewing and evaluating applications. The tutorial Comparing many applicants shows how to compare several applicants.
