General workflow

Purpose

MatchLytics-Assessment supports one part of the hiring process: comparing applicants based on their motivations and basic needs. Professional qualifications play a secondary role. The application covers exactly one straightforward workflow. This keeps you focused on the selection.

Who can see this?

MatchLytics-Assessment knows three roles: Administrator, Team leader and User. All three roles see the same four menu items. Only an administrator creates positions, and only an administrator can hire applicants. Team leaders and users usually see no positions because positions are not assigned to a team (see Positions). You can see your role in the profile menu at the top right.

An administrator creates user accounts, roles and teams in the Controlboard (see Users and teams (Controlboard)).

Prerequisite: MatchLytics-Assessment is enabled for your account. If it is not, the application shows only the No access page after login.

No access page with the Sign out button

  1. No access – Title of the page that replaces the application when MatchLytics-Assessment is not enabled for your account. Below it, a notice tells you to contact your administrator if you need access.
  2. Sign out – Ends your session in MatchLytics-Assessment and takes you back to the Controlboard. There you see the applications that are enabled for your account.

Layout

The general workflow can be described with a simple flowchart.

Simple flowchart of the application process

This workflow is probably familiar to you, and so are its problems: objectivity and transparent documentation of the selection process are hard to ensure. MatchLytics-Assessment can reduce these problems. The following sections describe the workflow more formally and in more detail.

Detailed workflow in BPMN

The diagrams describe the key activities required to hire new employees.

BPMN stands for “Business Process Model and Notation” and is an international standard for documenting work processes. Despite the formal notation, the diagrams can be read without training. The formal description reduces room for interpretation and ambiguity.

BPMN diagram of the classic application process

The team leader identifies the need and describes the position to be filled from a professional point of view. Based on this, the HR department writes a job advertisement and publishes it. From the applications received, HR selects the suitable ones and invites the applicants to interviews, which take place together with the team leader. Application letters and interviews are the basis for the decision and the hire.

Motivation profiles based on the TwentyFive method complement this process.

The profiles reveal the applicants’ motivations and basic needs at an early stage and make the match with the position measurable. This lets you estimate before the hire how likely a new employee is to reach their full potential and feel comfortable in the work environment. Both influence the productivity of the team and the costs of turnover. The analyses and comparisons give your decisions additional certainty.

MatchLytics-Assessment takes over or supports the steps highlighted in color. The application reduces the workload, automates parts of the workflow and documents the analyses that were part of the decision.

Functions

Workflow in the application

A position runs through the application from the job posting to the hire. The position produces invitations, the questionnaires answered by applicants produce applications with a match to the job profile, and when you hire, the applicant moves to MatchLytics-Management together with the motivation profile. Invitations and Applications each show the data of the position you select in the Position field. Only an administrator creates positions, and only an administrator can hire applicants.

  1. Create a position under Positions (Positions).
  2. Invite applicants under Invitations (Invitations). The applicants create their motivation profile.
  3. Evaluate the applicants under Applications, for example in the Match tab (Viewing and evaluating applications).
  4. Use Hire Applicant to transfer the selected applicant to MatchLytics-Management as an employee.

Each invitation sends the applicant an email with a link to the questionnaire, which is valid for 14 days. When you hire, MatchLytics-Assessment creates a user for a new email address, adds the user to the selected team and passes the motivation profile on to MatchLytics-Management. The new user usually receives an email with a link to set a password. The hire cannot be undone in MatchLytics-Assessment.

Notes

MatchLytics-Assessment does not replace a decision. The match is an additional source of information alongside application documents and interviews.
