Getting started: first steps

Purpose

This tutorial guides you through the first steps in MatchLytics-Management: you create the members of your team as users, set up the team and invite the members to create their motivation profile. After that, the evaluations of the app are available to you.

Who can see this?

Administrators. You manage users and teams under Administration › Users & Teams; this menu item is only visible to administrators. Step 5 can also be carried out by the team leader. Prerequisite: MatchLytics-Management is enabled for your account and you are logged in (see Login and start).

Step 1: Create users

Every team member needs their own user account. Only then can they log in, create their motivation profile and see the results.

  1. Open Administration › Users & Teams › User.
  2. Click Create new User.

User list with the “Create new User” button

  1. Menu Users & Teams › User – Opens the list of all users of your company, in which you create, edit, block or delete users. Only administrators see the Administration menu; the same list exists in the Controlboard under Company › User.
  2. Create new User button – Opens the dialog for creating a user. After the user has been created, the person receives an email with a link to set their password.

In the Create new User dialog, enter the details:

  1. Email – the team member logs in with this address and receives notifications.
  2. Username – the name displayed in the app.
  3. Role – User for team members, Admin for people who are to manage users and teams.
  4. Template under Email Notification – the template of the email the new user receives.
  5. Click Create.

The “Create new User” dialog

Repeat this step for all team members. The Controlboard offers the same user management under Company › User. The following video shows the workflow there.

Step 2: Create a team

  1. Open Administration › Users & Teams › Teams.
  2. Click Create new team.
  3. Enter a name in the Team name field.
  4. In the Team leader field, select the user who leads the team.
  5. Click Create.

Team list with the “Create new team” button

  1. Create new team button – Opens the dialog for creating a team with a name and a team leader. A new team initially contains only the team leader; you add members and permissions afterwards in the team details.
  2. Display icon – Opens the team details with the members and their permissions. Next to it are the icons for the history and for deleting the team.

The “Create new team” dialog

  1. Team name – The name under which the team appears in selection fields and lists; it is required. You can change it later in the team details with Edit team name.
  2. Team leader – Determines who leads the team; it is required, and you select a user of your company. The team leader automatically receives all permissions in the team and then additionally sees menu items such as Team Barometer and Synergy Analysis.
  3. Create – Creates the team and shows it in the team list. It first receives the neutral default team task, which you change later under Team › Employee in the Work Task field; Cancel closes the dialog without creating a team.

A user can lead several teams. Anyone entered as team leader sees the team leader menu items the next time they log in.

Step 3: Add members to the team

  1. In the team list, click the Display icon of the new team.
  2. Click Add user to team.
  3. Select the team members in the User field and click Add.

A user can be a member of several teams.

Step 4: Assign permissions

In the team details, you specify for each member what they may see in the team. To do so, tick the boxes in the List, View and Analyse columns. The Permissions box below the table explains the three permissions; each permission includes the previous one.

Team details with permissions and the “Add user to team” button

  1. Add user to team button – Opens a dialog in which you search for users after typing two characters and select several of them. New members initially have none of the three permissions; you assign them afterwards in the table.
  2. List, View and Analyse permissions per member – Checkboxes that save your change immediately and determine what the member can use in MatchLytics-Management for this team. With Analyse, for example, the menu items Team Profile, Team Analysis and Job Roles appear; the team leader has no checkboxes in their row and always holds all permissions.
  3. Permissions box explaining the permissions – Names in one sentence per permission what it allows: View includes List, Analyse includes both others. The box is display only and contains no settings.

For more on permissions, team leader and team task, see the tutorial Organizing teams and the page Teams and permissions.

Step 5: Invite members to create their motivation profile

Invite the members to create their motivation profile:

  1. Open Team › Employee and select your team in the Team field.
  2. In the member’s row, click the envelope icon Send profile reminder.
  3. In the Profile Creation Reminder dialog, select the email Template.
  4. Click Send Reminder.

Employees page with the “Profile Creation Reminder” dialog

  1. Envelope icon Send profile reminder – Opens the dialog in which you ask a member by email to create their motivation profile. Administrators and the team leader of the selected team see the icon; it is missing for blocked members.
  2. Template – Determines the template of the reminder email. The list shows name and language of the templates for profile reminders, and a template with “Standard” in its name is preselected; administrators maintain them in the Controlboard under Emails and templates.
  3. Send Reminder – Sends the email to the address the member logs in with and confirms the dispatch with a message. Cancel closes the dialog without sending anything.

The tutorial An employee creates their motivation profile shows how the team member creates their profile.

Notes

It is not recommended to have more than 10 members in a team; the app points this out when you add users. Only administrators and the team leader of the selected team see the Send profile reminder and Edit buttons. The Controlboard’s user management is described on the page Setting up users.
